Who is responsible for your data
Oliver Triggs, trading as ScaleYourClub is the data controller for personal data collected through this website. You can reach me at oliver@scaleyourclub.com. A postal address is available on request and is provided in full in any contract before you pay anything.
What this site collects, and what it does not
The free visibility check
When you run a check you give us a club name and a website address. Both are used to produce the report and are not written to any database. The report is generated in memory and sent straight back to your browser. Close the tab and it is gone — we keep no copy, which also means we cannot send it to you again.
The one thing we do retain briefly is your IP address, held in memory for one hour, so the checker can enforce its limit of five checks per visitor per hour. It is never written to disk, never shared, and disappears when the hour passes or the server restarts, whichever comes first. The lawful basis is legitimate interests: preventing abuse of a free tool that goes out and crawls other people's websites on request.
If you email us
Your email address and whatever you write sit in an ordinary email inbox so we can reply and, if it goes further, keep a record of what was agreed. Lawful basis: legitimate interests, and performance of a contract once there is one. Correspondence that does not turn into a contract is deleted within 24 months.
Cookies and tracking
None. No cookies are set by this site. There is no Google Analytics, no advertising pixel, no session tracking and no fingerprinting. If that ever changes, this page changes first and a consent banner appears — we are not going to slip it in quietly.
Two things are stored on your own device, both by your browser rather than sent to us:
- A service worker cache, so pages you have already opened work offline and load faster. Clear your browser's site data to remove it.
- Nothing else. No localStorage, no session storage, no device identifiers.
Things we do not do
- We do not sell, rent or share personal data with anyone for marketing.
- We do not build profiles or run automated decision-making about you.
- We do not add you to a mailing list because you ran a check. There is no mailing list.
Who else sees data, and why
| Who | What they see | Why |
|---|---|---|
| Vercel | Standard web server logs, including IP address, for a short retention period | They host the site. Logs are how any web server works. |
| Google Fonts | Your IP address when your browser fetches the two fonts | Typefaces are served from Google's CDN. No cookie is set. We are looking at self-hosting the fonts to remove this. |
| IONOS | DNS queries for the domain | They are the domain registrar and DNS provider. |
| Email provider | Any email you send us | It is where the inbox lives. |
Some of these organisations may process data outside the UK. Where they do, transfers rely on the UK's international data transfer agreement or addendum, or on adequacy regulations.
The websites we crawl
The free check fetches publicly available pages from the address you give us. It obeys robots.txt and any crawl delay, identifies itself honestly in its user agent, requests no more than eight pages, and refuses private or internal addresses. It reads what any search engine reads. It does not attempt to log in, submit forms, or reach anything behind a password.
If you run our tool against a website, please have a reasonable basis for doing so — checking your own club, a rival's public site, or a club you are helping is fine. Using it to hammer someone's server is not, and the rate limit exists to make that impractical.
Supporter data in the Fan Engine
Where a club buys the Fan Engine, supporters' email addresses belong to that club. The club is the data controller and we act as its processor, strictly on its instructions. The terms of that arrangement are set out in the data processing agreement. Supporters wanting their data removed should contact their club, though we will always help.
Your rights
Under UK GDPR you can ask for a copy of your personal data, ask for it to be corrected or erased, object to or restrict processing, and ask for it in a portable format. Email oliver@scaleyourclub.com and I will respond within one month.
Given how little is kept, most requests will get a short answer: if you have never emailed us, there is almost certainly nothing held about you at all.
If you think your data has been mishandled you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. I would rather you told me first so I can put it right.
Changes
The date at the top changes whenever this policy does. Material changes affecting existing clubs will be emailed to them rather than quietly published.
